Who we are

Onbeza is operated by Benjamin Dayer-Swan, trading as Onbeza. For UK data-protection purposes, Benjamin Dayer-Swan is the controller of personal information used to run Onbeza.

Address: 19 Starboard View, South Woodham Ferrers, CM3 5XW, United Kingdom.
Email: ben@onbeza.co.uk

When Onbeza hosts or supports a client website, that client will normally control information submitted by its customers. Onbeza processes that information only to provide the agreed service.

Information we collect

  • Contact details such as your name, business name, email address, telephone number and town.
  • Information you include in an enquiry, mockup request, email, call or support message.
  • Project material including website copy, images, approvals and account-access instructions.
  • Contract, invoice, payment and accounting records.
  • Business contact information from public sources when Onbeza identifies a prospective business customer.
  • Technical information such as browser, device, consent choice and website usage where analytics has been accepted.
  • Records of access to client services such as GitHub, Vercel, Search Console, Analytics or Business Profile.

Do not send passwords by email. Where access is required, Onbeza uses delegated access or a password manager wherever possible.

Where information comes from

Most information comes directly from you. Business prospect information may come from public business websites, Google Business Profiles, Companies House where relevant, professional directories or referrals. If a client gives Onbeza access to customer information, that information comes from the client’s website or business systems.

Who receives information

Onbeza uses suppliers only where needed to operate the business or provide an agreed service. Depending on the work, these may include:

  • Google Workspace, Google Analytics, Search Console and Business Profile, plus Google Fonts on the fictional demonstration pages;
  • Vercel for hosting and GitHub for source-code storage;
  • Web3Forms or a client-selected CRM for enquiry delivery;
  • FreeAgent for accounting and Mettle or NatWest for banking;
  • a password-manager provider for secure credential storage;
  • professional advisers, insurers, regulators or authorities where reasonably necessary or legally required; and
  • an AI-service provider where the safeguards described below are in place.

Some suppliers may process information outside the UK. Where this happens, Onbeza checks that an appropriate transfer mechanism or recognised safeguard applies.

Google Ads work may be referred to a separate specialist business. Onbeza will explain the referral before sharing contact information; the client contracts with that business separately.

AI-assisted administration

Onbeza may use secure AI-assisted tools to organise business communications, locate records and prepare draft replies. AI output is reviewed by Benjamin before it is used. AI is not permitted to send client communications, delete business records or make decisions about people without human approval.

Access is limited to the Onbeza business account and unnecessary personal information is excluded or redacted where practical. Onbeza reviews the provider’s security, retention, training and international-transfer terms before enabling access.

How long we keep information

  • Unsuccessful enquiries: normally 12 months after the last contact.
  • Unresponsive business prospects: normally six months after the last meaningful activity. A minimal suppression record may be kept so an opt-out is respected.
  • Contracts and important project correspondence: normally six years after the relationship ends.
  • Invoices and tax records: at least five years after the relevant 31 January tax-return deadline.
  • Routine support messages: normally two years, unless needed for a contract or dispute.
  • Security and server logs: normally up to 90 days.
  • Account access: removed when no longer required.
  • Analytics event and user data: retained for the configured GA4 period and reviewed annually.

Information may be retained longer where required by law, needed to establish or defend a legal claim, or subject to an active complaint. It is then deleted or anonymised when no longer needed.

Your rights

Depending on the circumstances, you may have the right to ask for access to your personal information, correction, deletion, restriction, portability or to object to its use. Where processing relies on consent, you may withdraw that consent at any time.

To make a request, email ben@onbeza.co.uk. Onbeza may ask for proportionate information to confirm identity and normally responds within one calendar month.

Questions and complaints

Please contact Benjamin first at ben@onbeza.co.uk so the concern can be investigated.

You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or by calling 0303 123 1113.

Keeping this notice accurate

This notice is reviewed at least annually and before personal information is used for a materially new purpose. The effective date at the top will change when the notice is updated.
